A day in the life of a Data Compliance Officer

Discover what it’s like to work in our Data Compliance team

Our Data Compliance Team look after our building compliance, which means following building requirements, standards or regulations to keep our residents safe. The team carry out regular compliance service and maintenance visits on the equipment within our homes to make sure everything is in order.

Data Compliance Officer, Amanda, has been at Hastoe since April 2023. Amanda's main areas of data compliance responsibility include: Asbestos, Water (including Legionella and Air Conditioning), Damp and Mould, Fire Equipment Services, Fire Risk Assessments and Leaseholder Doors. Amanda receives, processes and monitors all the certifications surrounding these areas of compliance. This involves daily communications with contractors, other Hastoe staff and Hastoe residents. 

Here, we find out what a work day looks like for Amanda. 

9:00am: Amanda works four days a week from home and spends one day in our London office. Today, Amanda is working from home so she starts the day by checking her emails and teams messages. She then checks any tasks that have come in that day.  

10:00am: Amanda starts work one of her areas of data compliance responsibility. She explains that each day she will focus on a different area to make sure nothing is missed. Today she is starting with any overdue tasks relating to Water. 

11:00am: She is checking that Legionella safety checks have been completed so Amanda calls some of our Housing Officers to find out the results. Often she finds that other colleagues will contact her for advice first, she says:

 

I like that other teams in Hastoe know that we are approachable because sometimes people think that compliance can be very serious. But no, but we are approachable and we love to help! No question is silly, and we'd rather you call and talk to it through with us than sit and worry about it."

12:00am: Amanda moves on to chasing fire safety certifications. She calls some of the contractors that Hastoe uses for their monthly fire safety checks to make sure that the certification has come in. 

2:00pm: After lunch, Amanda continues focusing on fire safety but this time she is raising purchase orders for large quotes and yearly contracts for different properties' fire safety checks. Amanda previously worked as a Health and Safety Manager for 19 years so her current role has taken some getting used to. She says: 

I love the supportiveness of the team. No question is too small. You can ring them anytime and get instant support. This is also one of the easiest IT systems I’ve worked with in my career."

3:30pm: Amanda will check her tasks and emails throughout the day and return to areas of compliance that need updating. This cycle continues throughout the afternoon. 

4:30pm: By the end of the day, Amanda aims to have all her emails and tasks complete. She doesn't like to carry any tasks over to the next day and she prides herself on completing work within time limits. She says: 

Tasks can soon build up. My proudest moment at Hastoe so far has been when I completed a mini project quicker than expected. I was very pleased with the length of time it took and its results."
